Time estimate
In most cases the switch is arranged within 1 to 2 weeks. At year-end, with backlogs or payroll administration it can take a little longer. We keep your planning and deadlines tightly under control. Want to start without waiting? Sign up now.
How to switch worry-free
- Intake and check: we discuss your situation, legal form (ZZP, VOF, BV or holding) and preferences. You immediately receive a suitable all-in proposal with a fixed price.
- Cancel with your old bookkeeper: you cancel yourself. If you like, we provide a polite sample email listing which documents to request.
- Secure transfer of your administration: we coordinate the handover with your previous bookkeeper as soon as you give permission. Think of audit files, general ledger, VAT and payroll data, annual accounts and contracts.
- Set up accounting package: we connect the bank and tooling, set up your invoicing process properly and perform a cross-check on payment flows.
- Start and first run: we check the opening balance, schedule your filings and actively support you through the first period.
When is the best time to switch?
You can switch bookkeepers all year round. It’s practical to align with a logical checkpoint, such as after a VAT quarter or right after closing the financial year. That prevents double work and makes checking easier. Do you need to leave urgently due to poor service or high costs? Then we arrange an interim transfer and ensure your filings keep running on time. Costs of switching and duties of your old bookkeeper
Switching itself usually doesn’t cost extra: your administration is yours and should be transferred during a switch. Your old bookkeeper must reasonably cooperate and provide the complete administration, including source files such as audit files and annual figures.
Watch for possible exceptions: outstanding invoices at your old firm, additional work (such as clearing backlogs) or contractual notice periods. At Profinancials we use transparent, fixed monthly fees. Any extra work is agreed in advance, so you never face surprises. View our rates and packages.
Ongoing work when switching
Avoid duplicate work and extra costs by properly coordinating ongoing tasks. Preferably complete major jobs before the handover, such as annual accounts or a quarterly VAT return. Make clear agreements on who handles which return, how far processing has progressed and what still needs to be done. We work with a clear checklist and take the lead, so you won’t miss deadlines and your numbers remain accurate.
What to look for when choosing your new bookkeeper?
- Transparent rate: understand what is included in the monthly fee and what counts as additional work.
- Accessibility and advice: dedicated advisor, unlimited contact, proactive thinking.
- Insight: real-time dashboards, bank connections and digital file management.
- Industry knowledge: experience with your legal form and sector.
- Process and security: structured switch, secure data transfer and clear planning.
At Profinancials our all-in packages cover these points as standard. We handle your VAT, income tax or corporate income tax returns, perform a cross-check on payments and ensure tight financial management.

Frequently asked questions
These frequently asked questions provide clarity about what we arrange, how we work, and what you can expect when collaborating with us for your business administration.
Yes. You can switch at any time. Do check your notice period and any outstanding invoices. Your records are yours and should be transferred when you switch. We help with a polite cancellation, secure data transfer and a tight schedule.
Switching makes sense if you want better service, clear pricing or more insight. Choose a logical moment (after a quarter or year), record agreements and ensure a complete transfer. With proper preparation and guidance you avoid risks and don’t lose continuity.
Report the error immediately and ask for correction. Record findings and gather evidence. When you switch we check your opening balance and recent filings. Remedial work is possible; liability may rest with the previous party, depending on agreements and the file.
As little as possible. Evaluate annually on service, insight and price. Stay if it’s good; switch if promises are consistently not kept or your business needs different expertise. Make a switch a planned and controlled moment.
