FAQ

Frequently asked questions

This section covers common questions about bookkeeping, taxes, and working with Profinancials. Our goal is to make all financial and administrative information easy to understand.

What exactly do you do as an accounting and advisory firm?

We take care of your bookkeeping, VAT returns, annual accounts, personal/corporate income tax filings (IB/CIT) and if needed payroll administration. But we also act as your sparring partner: we review your figures, profit, cashflow and tax opportunities. So you don’t just get “processing”, you get advice that fits your business.

Want to know which approach fits you best? Schedule a short introductory call.

Which legal form suits me best: sole proprietorship or BV (Dutch limited company)?

This is one of the most common questions. With a BV, topics like director salary (DGA salary), corporate income tax (CIT), dividends, and liability come into play. A sole proprietorship is often simpler, with income tax and entrepreneur tax deductions. What’s “best” depends on your profit level, risks, plans and personal goals.

Let us compare your scenarios in an advisory meeting.

Do you also handle VAT returns and ICP (EU supplies statement)?

Yes. We prepare your VAT returns (monthly/quarterly) and review VAT risks such as private vs. business use, international invoices, and reverse-charge rules. If you provide the information before the deadline, we make sure everything is filed correctly and on time.

Want to outsource your VAT worries? Contact us for a quick intake.

I’m starting a business: what should I set up correctly from day one?

When starting out, things usually go wrong in three areas: invoicing, receipts/purchase invoices, and business payments (mixing business and private transactions). If the basics are set up properly, you avoid stress around VAT filings and year-end work. We can help you set everything up also including automations.

Starting soon? Schedule a short starter intake.

Which expenses are deductible and which are not?

Many entrepreneurs either leave money on the table (or take unnecessary risks). Think of representation costs, business mileage, phone/laptop, working from home and mixed-use expenses. The rules differ per expense type and your situation. We help you draw a clear line: what’s deductible, what isn’t, and how to document it smartly.

Not sure which costs are deductible? Schedule an advisory meeting with us.

How does payroll administration work if I’m going to hire staff?

Hiring staff is more than creating “payslips”. You’ll deal with collective labor agreements (CAO, where applicable), payroll taxes, contracts, pensions/insurances (sometimes), sick leave, and periodic filings. We can set up your payroll administration and ensure you stay compliant, including deadlines. You and your employees also get access to a portal where everything can be tracked.

Hiring staff (or planning to)? Schedule a payroll intake.

I’m a DGA (director-shareholder): what is the right DGA salary?

The “customary salary” (gebruikelijk loon) is a common topic for BV’s. Too low can raise questions; too high can put pressure on your cashflow. We look at your industry, profit, activities and supporting documentation to make it both defensible and appropriate. If paying salary is not feasible, we can also request approval from the Dutch Tax Authorities to reduce the salary or set it to zero. Timing is crucial this should be arranged in time.

Want a check on your DGA salary? Schedule a meeting.

When do I need to submit my administration, and how does it work with you?

The faster and cleaner your submission, the better your numbers and the less correction work is needed. We work with clear deadlines and a fixed structure. You’ll always have insight into what’s still missing, so you don’t have to rush at the last minute.

Want to know how our workflow works? Request our intake and submission guidelines.

Can you also provide interim figures (monthly/quarterly reporting)?

Absolutely. Interim reporting gives you control over profit, VAT, liquidity and for example your room for investments or salary/dividend decisions. It’s ideal if you want to steer your business proactively instead of correcting afterwards.

Want more control over your numbers? Use our reporting services.

Do you also help with annual accounts and corporate income tax (CIT/VPB)?

Yes. We prepare the annual accounts and filing/deposit (where required) and the corporate income tax return. We also look for optimizations such as depreciation, provisions and business expenses so you avoid surprises afterwards.

Want us to handle your year-end work fully? Request a year-end quotation.

Can you help with a tax audit or questions from the Dutch Tax Authorities?

Yes. If questions arise (VAT/income tax/CIT/payroll taxes), it’s important to respond calmly and completely. We support you with substantiation, communication and collecting the right documents.

Received a letter? Forward it to us and we’ll review it right away.

How do you ensure secure data handling and compliance?

Your administration contains sensitive data. That’s why we work with secure systems, access control, and clear processes. On top of that, entrepreneurs increasingly face compliance requirements (for example identification and verification obligations in certain situations). We take this responsibility seriously and clearly explain what we need and why.

Want security and compliance properly arranged? Contact us for an intake and our working method.
